Overview  - Identification of the user problem

Anyone who collaborates with a team on documents such as contracts, presentations or documentation, frequently asks the following questions: “Is my data really up to date?”, "Who has the latest version?", and “Can I transfer my data securely?”  These questions are among the central problems of everyday business for mobile workers.

Globalization and flexibility lead more and more frequently to the spontaneous formation of work groups (ad hoc teams), which are only assembled for the duration of a task. For the data exchange data among the team members, e-mail communication is becoming more insecure due to spam and spam filters, and therefore, it is increasingly unsuitable for the exchange of business critical data.

Over the last 15 years, software products for collaboration have pursued the approach to create isolated application areas. Users had to, and continue to have to become familiar with changing interfaces, and have to switch back and forth between varied applications. Organizing collaborative work beyond the company boundaries requires large amount of administrative overhead. The users are confronted with an additional problem that we refer to as the “version explosion”. A version of a file is created at the moment in which a copy is produced. Computer users create copies for various reasons:  

  • A copy of a document is created for backup purposes.  
  • A document is sent to colleagues, customers, suppliers, partners, or friends for revision, proof reading or further processing, and completion, etc.
  • A copy of a file is created for a specific purpose, or modified, e.g. for a presentation to a specific customer.
  • A copy of a file is created so that it can be worked on at home or while travelling.
With a document’s increasing useful life and number of users, a “version explosion” inevitably occurs. The questions arise, such as "Which is the latest version?", "Where can I find my last changes?", or "Did you keep my copy that I sent to you?"
